Best time to meet

No hour is inside 9:00–17:00 for everyone. Closest compromise:

What is the best time for a meeting across time zones?

The best time is the hour when everyone’s local time falls inside working hours, usually 9:00 to 17:00. In the planner above, working hours are shaded green for each place and the darker green columns mark the hours that work for everyone. If no column is dark green, choose the hour that keeps early starts and late finishes to a minimum.

How to use the Timelive meeting planner

  1. Add your cities. Press “Add city” and search for each place or time zone. The first row is your own time; you can add up to eight places.
  2. Choose the date and working hours. Pick the day of the meeting so daylight saving time is applied correctly, then choose the working hours that count as reasonable for your team.
  3. Pick a green column. Light green shows working hours in a city and dark green marks the hours that work for everyone. Click a column to see the local time in every city.
  4. Copy or share the plan. Use “Copy summary” to paste the times into an invite, or “Copy link” to send your team the same view.

Meeting planner questions

What is the best time to schedule a meeting across time zones?

The best time is the hour when everyone’s local time falls inside working hours, usually 9:00 to 17:00. Add each person’s city to the planner and look for the dark green columns. If there is no overlap, pick the time that keeps early starts and late finishes as short as possible and rotate the inconvenient slot between teams.

What is the best time for a meeting between New York and London?

With 9:00–17:00 working hours, today’s shared window is 9:00 AM–12:00 PM in New York · 2:00–5:00 PM in London (3 hours). For about three weeks in March and one week in late October the time difference is four hours instead of five, because the United States and the United Kingdom change their clocks on different dates, so the shared window is an hour longer.

What is the best time for a meeting between New York and India?

New York and India rarely share 9:00–17:00 working hours. Today there is no shared window; the closest compromise is 8:00 AM in New York · 5:30 PM in New Delhi. In practice teams meet early in the morning in New York, which is the evening in India, or hold the call at the end of the Indian working day.

Do I have to use 9:00 to 17:00 as working hours?

No. The planner lets you choose 8:00–18:00, 10:00–16:00 (core hours) or 7:00–19:00 so you can match your team’s real schedule. Wider hours give more overlap but ask more of the people at the edges.

How do I schedule a meeting with more than two time zones?

Add every city to the planner, up to eight. The dark green columns show the hours that work for all of them. When there is no shared hour, the planner suggests the closest compromise so you can see who will be early or late.

Does the meeting planner handle daylight saving time?

Yes. Choose the date of the meeting and every city uses the clock rules in force on that day, including daylight saving changes, so a meeting scheduled across a clock change still shows the right local times.

What should I put in a meeting invite for people in different time zones?

Include the time in each person’s city, or at least a time zone name and the UTC offset, not just “9:00 AM”. Use Copy summary to paste a ready-made list of local times, and Copy link to share the planner with the same cities and date.
